Account Reconciliation Template for Excel
Use the workbook for cash and other balance-sheet accounts when you have an independent source, a general-ledger balance, and evidence for every reconciling item.

The free XLSX contains Instructions, a blank Reconciliation sheet, and a completed synthetic Sample. It compares an independent-source balance with the general ledger, calculates signed adjustments on both sides, reports the remaining difference, and includes preparation and review fields.
Use one workbook per account and period. The template is suitable when a balance-sheet account has a reliable independent source, such as a bank statement, processor statement, subledger, tax filing, or third-party schedule. The source must measure the same account, unit, currency, and cutoff as the ledger.
The template separates source-side and ledger-side adjustments
Start with the balance from the independent source and the unadjusted general-ledger balance. Put timing differences and source corrections on the source side. Put unposted activity, misclassifications, and ledger corrections on the ledger side.
Enter every amount as a positive source value, then choose Add or Subtract from the dropdown. This keeps source evidence faithful while the formula applies the reconciliation direction. Do not choose a direction merely to force the difference to zero.

Choose an independent source that can expose ledger errors
A comparison is weak when both balances come from the same system or inherit the same error. The GAO described a control weakness where two internal records reflected the same mistake and recommended identifying independent data sources and the general-ledger balance in the reconciliation format.
For a bank account, the issued bank statement is the independent source. For a payment clearing account, it may be a processor settlement report. For a payroll liability, it may be an approved payroll register or tax filing. Document who produced the source, when it was obtained, and what period it covers.
Age and assign every reconciling item
The workbook includes evidence ID, date, description, direction, source amount, owner or reference, expected resolution date, and signed adjustment. These fields make an old item visible instead of letting it roll forward as an unexplained total.
Review unresolved items by age and risk. A legitimate timing item can become an error, duplicate, stale payment, or write-off candidate if it does not clear as expected. Follow the accounting policy and approval process that applies to the account.

Complete the arithmetic, then complete the control
The template uses SUM formulas to calculate net adjustments, both adjusted balances, and the difference. It reports Reconciled within one cent only after both starting balances are entered. A blank sheet never presents a passing result.
Arithmetic is only one part of the control. Confirm completeness, classification, cutoff, evidence quality, proposed entries, ownership, and reviewer sign-off. A zero difference can still hide equal and opposite omissions.
- Confirm both balances refer to the same account and period.
- Trace each adjustment to source evidence.
- Post or formally approve ledger-side corrections.
- Investigate old and recurring reconciling items.
- Record preparer and reviewer names and dates.
Use the narrower bank template for bank-specific work
The account reconciliation workbook uses general Add and Subtract choices so it can support different account types. The bank reconciliation Excel template is better for cash because its dropdowns name deposits in transit, outstanding payments, bank errors, bank credits, bank debits, and book errors.
