Bank Reconciliation Statement Format: Sections, Formula, and Example
A useful reconciliation statement shows where both balances started, every supported adjustment, where both balances ended, and who reviewed the work.
Use a two-sided bank reconciliation statement
A bank reconciliation statement should identify the account and cutoff date, present a bank-side calculation, present a book-side calculation, and show whether the two adjusted balances agree. Each adjustment should have a description, amount, direction, and source reference.
OpenStax illustrates this two-sided structure with the statement balance adjusted for deposits in transit, outstanding checks, and bank errors, while the book balance is adjusted for items such as collections, interest, fees, returned payments, and recording errors.

Header fields prevent account and cutoff mistakes
The statement format begins above the arithmetic. Record the legal entity or business unit, bank name, account name, masked account number, currency, statement period end, ledger cutoff, and preparation date. A reviewer should be able to identify both source balances without opening another workbook.
Do not use today's online balance when reconciling a closed statement period. Pending card activity, deposits, holds, and later transactions can make a current balance different from the issued statement balance.

Bank-side section
Start with the ending balance printed on the bank statement. Add deposits in transit, subtract outstanding checks or payments, and show documented bank errors in the direction needed to restate the bank side correctly.
List each item separately. A net line called timing difference hides stale checks, duplicate deposits, and cutoff problems. Include an evidence ID and a reference to the deposit record, check register, payment record, or bank case.

Book-side section
Start with the cash balance from the general ledger before statement-only items and corrections. Add bank credits not yet recorded in the books. Subtract bank debits not yet recorded, then correct errors by the amount of the misstatement rather than recording the original transaction twice.
Book-side items usually point to a journal entry or correction. Add the entry number and posting date after the entry is approved. Timing items already recorded in the books stay on the bank side and should not be posted again.

Difference and sign-off section
Calculate adjusted bank balance minus adjusted book balance. The bank reconciliation formula guide explains the arithmetic in detail. A zero difference means the listed amounts tie; it does not prove that every transaction is present or classified correctly.
Finish with the number of statement rows reviewed, the number of ledger rows reviewed, unresolved items carried forward, evidence locations, preparer certification, and reviewer approval. The GAO has specifically recommended reconciliation formats that identify independent data sources and the general-ledger balance when weak formats failed to detect errors.

- Review old outstanding items and document their disposition.
- Confirm book-side entries posted to the intended period.
