Why Your Bank Statement Does Not Match Your Spreadsheet
A mismatch is a clue. Its amount, timing, and location usually narrow the cause quickly.
First make the comparison valid
Confirm that the spreadsheet and statement cover the same account, currency, and closing date. Remove pending activity and later-posted transactions from a historical comparison. If the workbook was sorted or filtered, restore all rows before calculating totals.
Write down the exact difference rather than saying the totals are off. A difference equal to one transaction points to an omission or timing item. Twice an amount suggests a reversed sign. A difference divisible by nine can suggest transposed digits, although that shortcut never replaces tracing the source row.
Work through the common causes
Timing differences include deposits in transit, uncleared checks, and transactions posted just outside the statement period. Spreadsheet completeness problems include missing pages, filtered rows, split wrapped descriptions, and summary totals accidentally treated as transactions.
Duplicates often come from overlapping statement periods or repeated page headers. Sign errors appear when checking logic is applied to credit cards. Date errors arise when month-and-day rows inherit the wrong year, especially around year-end. OCR errors include lost decimals, confused characters, and amounts assigned to the wrong column.

- Sort a copy by absolute amount to find the difference quickly.
- Check the first and last transaction on every page transition.
- Test both printed totals and opening-to-closing arithmetic.
Correct the source of the error
Do not add an unexplained balancing row. Correct the extraction if the PDF was read incorrectly, correct the ledger if your books contain the error, or list the item as an outstanding timing difference if neither source is wrong. Document what changed and preserve the original value when an audit trail matters.
If the statement itself shows an unauthorized or incorrect transaction, contact the bank or card issuer promptly. Consumer protection timelines can run from the date the statement was sent, so spreadsheet cleanup should not delay reporting the underlying issue.

Use the statement’s closing or new balance for the issued period. Available balance is current and may include holds or pending activity that is outside the statement.
