Pending vs. Posted Transactions on a Bank Statement
Pending is a temporary state. Posted is the institution’s recorded activity, but corrections and reversals can still follow.
What pending means
A pending transaction has been authorized or initiated but has not finished posting to the account. The bank may reserve funds or reduce an available balance while the ledger treatment is still incomplete. Hotels, restaurants, fuel pumps, and rental companies can authorize an estimate before submitting the final amount.
Pending deposits are not always available to spend. The CFPB advises checking the institution’s funds-availability policy and notes that pending debit-card amounts may differ from the amount that eventually posts.
What changes when activity posts
Posting assigns the transaction to the account’s official activity. The final amount can incorporate tips or release an unused authorization. The description may become more specific, and the posting date can differ from the purchase date because of weekends, merchant submission timing, or processing rules.
A pending authorization can also disappear without becoming a posted charge, or a posted item can later be reversed or refunded as separate activity. Do not assume a missing pending item is permanently gone until the relevant processing window passes.
Which transactions belong in a statement spreadsheet
Use the posted activity printed in the issued statement. Adding current pending items creates a hybrid dataset that cannot reconcile to the statement’s closing balance. If operational reporting needs pending items, put them in a separate table with an as-of timestamp and no claim that they are part of the issued period.
Match using stable evidence and allow dates to differ. A pending restaurant authorization and its posted charge may be the same economic event with different amounts; treating both as transactions will double-count spending.
