STATEMENTMINT: BANK STATEMENT MERGE CHECKLIST Updated September 13, 2026 Guide: https://statementmint.com/blog/combine-bank-statements-spreadsheet Use this checklist in your own working files. It does not process transactions. Keep original exports unchanged. Use account aliases instead of full numbers. 1. SOURCE REGISTER (repeat per export) [ ] Account alias and currency: [ ] Source ID, version and filename: [ ] Statement period and date basis (transaction or posting): [ ] All required pages and transaction sections checked: [ ] Input row count: [ ] Positive total: [ ] Negative total (signed): [ ] Corrected or superseded version identified: 2. PREPARE AND APPEND [ ] Confirm Date, Description and Amount against each source. [ ] Convert dates and amounts to the intended spreadsheet types. [ ] Add Account, Source ID and fixed Source row columns before sorting. [ ] Preserve descriptions; do not strip identifying merchant/reference text. [ ] Match column headers; omit repeated headers and summary rows. [ ] Append reviewed tables, retaining source columns. [ ] Compare appended count with the sum of input counts. 3. OVERLAP DECISION LOG (repeat per candidate) Account / currency: Overlapping source periods: Candidate source key (source ID + fixed row): Other source key: Date / description / signed amount: Source evidence (reference, printed position, or other corroboration): Decision: keep / exclude confirmed overlap / unresolved Reason, reviewer and review date: [ ] Check repeated source keys for accidental re-imports. [ ] Compare account + date + description + amount as review candidates only. [ ] Inspect overlapping windows even when descriptions or dates differ. [ ] Keep legitimate repeated purchases and both account sides of a transfer. [ ] Retain excluded rows and reasons outside the final output. [ ] Investigate unresolved candidates before relying on the combined file. 4. OUTPUT CONTROLS (per account and currency) Expected output count = input count - confirmed excluded count Expected signed total = input signed total - excluded signed total [ ] Compare actual count and total with expectations. [ ] Compare positive and negative totals separately. [ ] Investigate unexplained differences and missing periods. [ ] Sort the whole table, not the Date column alone. [ ] Save reviewed output separately from original exports and exclusion log. SYNTHETIC CHECK Two real purchases: -45.00 and -45.00. One overlapping copy: -45.00. Input: 3 rows, -135.00. Exclude: 1 row, -45.00. Output: 2 rows, -90.00 because -135.00 - (-45.00) = -90.00. Equal transaction fields alone do not justify deleting a purchase.
